To learn more about what goes on behind the scenes, I sat down with one of our longtime preferred vendors, Katie of KB Events, a Santa Barbara wedding planner who’s created unforgettable celebrations at Rockwood for years. Katie shared how she found her passion for wedding planning, what a planner really does, and why so much of the work happens without anyone noticing.

A Passion That Started Early

For Katie, event planning wasn’t something she discovered later in life, it was part of her upbringing.

“My husband Adam, who’s also my business partner, always says I was born into this because my family has always hosted events,” Katie shared. “From a pretty young age, I would follow my mom around asking, ‘How can I help? What can I do? What can I set up?'”

That curiosity grew into a career. After college, Katie worked for a local rental company and later at a Santa Barbara hotel, gaining firsthand experience with every aspect of event production. She began planning weddings in 2008 and made the leap to full-time wedding planning in 2015. Since then, she’s helped countless couples bring their wedding visions to life.

So, What Does a Wedding Planner Actually Do?

Many people think a wedding planner simply keeps everyone on schedule but Katie says the role is much more comprehensive.

“They’re really the hub of communication on the wedding day,” she said. “The planner is essentially the sounding board and the main voice of the couple. The last thing anyone wants is to bother the bride and groom while they’re enjoying their day.”

Instead of vendors, guests, and family members constantly seeking out the couple with questions, the planner becomes the central point of contact. From coordinating vendor arrivals and managing the timeline to answering guest questions and troubleshooting unexpected situations.

“Our job is really to make the couple feel like they’re seamlessly floating through the day,” Katie said.

It’s a role that’s equal parts organizer, problem-solver, communicator, and advocate which allows couples to stay fully present and enjoy every moment.

The Biggest Misconception About Wedding Planners

When asked about the biggest misconception surrounding wedding planners, Katie pointed out that many people simply don’t realize how much work happens behind the scenes.

“I don’t know that it’s so much a misconception,” she said, “but I think there’s just a bit of mystery around it.”

In fact, one of the signs of a great planner is that you hardly notice them at all.

“If I’m doing my job correctly, you should have no idea what I’m doing on the wedding day.”

While guests are enjoying cocktail hour and the couple is celebrating with loved ones, planners are quietly coordinating vendors, adjusting timelines, solving last-minute challenges, and making dozens of decisions that keep the day running effortlessly.

Bringing Your Personality Into the Celebration

While planners excel at managing logistics, they’re equally passionate about helping couples create celebrations that reflect who they are.

When asked about one of the most memorable weddings she’s planned in recent years, Katie immediately thought of a couple who found a creative way to incorporate one of the groom’s lifelong hobbies.

“It’s always those personal things that really take it to the next level,” she said. “One of our couples, the groom was very into Legos and has been since his childhood. They were debating how to incorporate it… what he ended up doing was making escort cards, and he put a unique Lego person on every person’s card.”

It’s thoughtful details like these that guests remember long after the wedding day. A planner helps couples brainstorm meaningful ways to showcase their personalities while ensuring every detail fits seamlessly into the overall design and timeline.

Katie’s Advice for Newly Engaged Couples

For couples just beginning the planning process, Katie recommends starting with a conversation before booking anything.

“Our highest recommended starting point is you and your fiancé sit down with no one else’s involvement or opinions and decide what your most important things are. So, whether that’s a venue or a certain vendor, or a certain style. We usually recommend like top three and knowing those top three are where your budget is going to go and everything else from there is negotiable.”
